All-Inclusive Party Packages for Companies: Building a Budget for 15–50 Guests

Whoever has to get an event budget approved needs exactly one thing: a single all-inclusive number, with a clear structure and no surprises.

This article sets out how to build that number — and how to tell whether a quote can be trusted.

The structure of a corporate party bill

Every quote is made of exactly four parts:

1. Room charge — by the hour, based on capacity and floor area
2. Set menu / food — package or à la carte
3. Drinks — beer, soft drinks, spirits (usually listed separately because they vary most)
4. 5% service charge + 10% VAT — calculated on the total of the three above

A quick way to check it:

Final total = (Room + Food + Drinks) × 1.155

Note: VAT is charged on the total including the service charge, so the multiplier is 1.155, not 1.15.

What an all-inclusive set menu covers

A standard corporate set for 10–15 guests is usually structured like this:

Why a package beats ordering à la carte for a corporate event:

• One number to take for approval
• No sitting with a 60-item menu guessing at portions
• The kitchen prepares in advance and serves on a rhythm rather than trickling out all evening
• 15–25% cheaper than the equivalent ordered à la carte

Budget by size (four-hour party, 5% service charge and 10% VAT included)

The bigger the group, the lower the cost per head — because the room charge is spread across more people. Worth putting in the memo if you are weighing up combining two departments into one evening.

Three ways to cut the budget without lowering the standard

1. Take the 5pm–8pm weeknight slot.

This is the most effective saving and costs you almost nothing. Many venues discount the room rate in that window (30% at Avatar), and it is the slot a company party wants anyway — after work, before everyone heads home.

For a group of 30, that brings the total from 18,900,000₫ down to around 18,000,000₫.

2. Use the birthday offer for a group birthday party.

If the company celebrates staff birthdays month by month, make the oldest person in the group the "guest of honour" — with a discount equal to their age, someone turning 45 brings a 45% discount on the room rate.

3. Fix the number of hours up front and budget one spare.

A party that is going well runs long. Putting one spare hour in the memo now beats explaining an overage later.

Three costs people forget when budgeting

Adding roughly 8–10% contingency to the memo is reasonable, and shows you thought it through.

How to read a quote and tell whether it is trustworthy

Good signs:

• It states "excluding 5% service charge and 10% VAT", or has already added them and says so
• It lists exactly what is in the set menu, not a vague "Combo A"
• It states the number of hours and how part-hours are charged
• It has a section on deposit and cancellation terms
• It comes with real photos of the room and the floor area

Signs you should ask again:

• A single total with no breakdown
• No mention of service charge or VAT
• No explanation of part-hours (is 3 hours 20 minutes billed as 3.5 or 4?)
• Dodging the question about invoices
