Deal Celebrations & Kick-offs: Run Sheets for Sales, Real Estate and Banking Teams

For a sales team, a celebration is not a reward — it is a management tool. It closes a cycle, recognises the people who performed in front of everyone, and recharges the team for the next one.

Done well, an evening costing 20 million₫ can be worth more than the same amount paid as a cash bonus. Done badly, it is just a night of drinking.

Four occasions worth marking each year

Occasion When What it achieves
New-year kick-off First week after Tet Announce targets, build momentum, bond the new line-up
Celebrating a big deal Within 7 days of signing Immediate recognition — the strongest psychological effect
Beating a monthly or quarterly target Right after the numbers close Keeps the rhythm, honours the front-runners
VIP client appreciation Year end, or after a major campaign Maintains the relationships that produce the most revenue

The rule about timing: a celebration should happen as close to the event as possible. A deal celebration held six weeks later has lost most of its value — the feeling has cooled and everyone has moved on.

Run sheet for a deal celebration (3 hours)

This is different from a year-end party: shorter, hotter, less ceremony.

Time What happens
0:00 – 0:20 Into the room, starters, upbeat music. No formal "everyone take your seats" moment
0:20 – 0:30 Team lead speaks briefly (under 3 minutes): the number achieved, the names of the main contributors, a toast
0:30 – 1:15 Eating, drinking, retelling how the deal was closed — this part matters: the retelling is how sales knowledge spreads through the team
1:15 – 1:45 Recognition: each person's name and number on screen, on-the-spot prizes if there are any
1:45 – 2:30 Singing, games, letting off steam
2:30 – 3:00 Group photo, setting the tone for the next cycle

Run sheet for a new-year kick-off (4 hours)

This one needs a tighter structure because there is real business content in it.

Time What happens
0:00 – 0:30 Welcome, starters, background music
0:30 – 1:00 The business part: last year in review (5 min) → new targets announced (10 min) → the bonus scheme (10 min). Slides on the big screen
1:00 – 1:30 Honouring last year's top performers — awards on the stage or catwalk, photos and numbers on the LED wall
1:30 – 2:30 Main course, open mingling
2:30 – 3:30 Team games, group singing
3:30 – 4:00 Target commitments (each team calls out its own), company photo

One important tip: the business part belongs in the first half, while everyone is still sharp. Plenty of teams make the mistake of announcing targets at the end of the night — by then nobody remembers a thing.

Why a private space matters for a sales team

Three very practical reasons:

1. The numbers are internal information. You will be announcing revenue, client names and next year's targets. Nobody wants that carrying across a busy restaurant.

2. Celebrating needs volume. A sales team celebrating is loud — that is normal and healthy. In a restaurant, having to keep it down smothers the mood.

3. You need a screen for the recognition. Putting a person's name and number on a big screen in front of the whole team lands far harder than reading it aloud. An ordinary restaurant cannot do that.

Reference budgets

Size Length All-inclusive total (service charge + VAT included)
Team of 12–15, deal celebration 3 hours ≈ 9,000,000 – 11,000,000₫
Team of 25–30, quarter close 3–4 hours ≈ 17,000,000 – 19,000,000₫
Kick-off for 45–50 4 hours ≈ 30,000,000 – 32,000,000₫

How to optimise: a deal celebration usually happens on a weekday (right after signing), which lands squarely in the window where many venues take 30% off the room rate. An unexpected bonus for the budget.

Four things to prepare in advance

  1. Accurate figures — names, numbers, rankings. Getting a name or a number wrong during recognition is a hard accident to recover from.
  2. The files for the screen — leaderboard, individual photos, company logo. Send them to the venue at least a day ahead.
  3. Something physical to hand over — an envelope, a trophy, a certificate. Something you can hold and photograph outlasts praise.
  4. Someone taking photos — a recognition night with no photos is a recognition night that exists for three hours.

Three common mistakes

Only honouring the top performer. If one person out of twenty gets called up, the other nineteen are an audience. Have several categories: highest revenue, most improved, best teammate, toughest client.

Talking business all evening. The second half should be genuine release.

Nobody handling the ride home. With a sales team, drinking is close to certain. Arranging cars in advance is the organiser's job.
