A Company Get-Together For National Day: One Evening For The Team That Is Not Travelling
Not enough budget for a two-day trip over National Day? A three-to-four-hour evening plan with a full VAT invoice, for companies staying in town.
This year's budget does not stretch to a two-day, one-night team-building trip out of the city — transport, hotel, three meals and a day of everyone's leave add up to a figure the board has not approved. But the boss still wants to "do something" for the team before the National Day break, so that the occasion amounts to more than an email wishing everyone a good holiday. This article is for whoever was handed that job.
You do not have to travel to bring a team together
A two-day trip has its own value, but it is not workable every year — it costs budget, it costs leave days, and it is hard to get everyone in one place when each person has their own plans for a long weekend. A three-to-four-hour evening in the city does the necessary part: the team sits together without a screen between them, there is a moment to acknowledge the past six months, and then everyone goes home on time, with nobody's holiday plans disturbed.
A plan for a three-to-four-hour evening
For companies that have never run an evening like this, the outline below is a safe starting point, easy to adjust to the culture of a particular team.

Pick the room for the size of the team, do not guess
Getting the room size wrong is the usual reason a get-together feels awkward — too tight and nobody dares stand up to speak, too large and the atmosphere thins out. How it is calculated: (room + food + drinks) × 1.155 — the 1.155 covers the 5% service charge and 10% VAT, and is already applied in the table above. You can put this table straight into a budget approval request rather than recalculating it yourself.
A checklist before it goes to the boss
- Settle the real attendance figure (minus anyone who has already taken leave before the holiday) before choosing a room.

- Confirm a start before 10pm so the evening falls inside the window with 30% off the room rate.
