The Boss's Birthday: Doing It Properly Without Looking Like Flattery

This is the event with the narrowest margins that an admin department has to run. Do it thinly and it looks careless. Do it too lavishly and it looks like flattery — and worse, the boss feels awkward too.

Nobody has written that line down anywhere. This article tries to, by way of three questions to answer before booking anything.

Question 1 — Who is hosting?

The answer sets the tone of the whole evening.

The simple rule: whoever pays decides the scale, whoever is celebrating decides the tone. If the boss is a private person, a warm evening for twenty is more appropriate than fifty guests with a compère.

Question 2 — Who pays, and is an invoice needed?

If the company is paying, this is no longer a matter of sentiment but a cost to be accounted for. Three things to settle at booking, not at payment:

Confirm the venue issues full VAT invoices and give the company details at the outset.
Ask for written confirmation of the booking: date, time, room name, head count, set menu, and the expected total including the 5% service charge and 10% VAT.
Put one all-inclusive figure in the approval request, not a sixty-item menu for the boss to add up.

Question 3 — What is the evening for?

If the answer is "because it is his birthday", the evening will fall flat. A boss's birthday that works always has a secondary purpose alongside it — thanks for the year, a company milestone, or simply an occasion for the department to sit together outside working hours.

The test for which side of the line you are on: if most of the time is spent praising one person, it is flattery. If most of it is spent with people talking to each other, it is thoughtfulness.

A 90-minute running order — enough, and no more

A boss's birthday should not be a four-hour programme. Ninety structured minutes, then leave people to themselves.

The real budget for 30 guests — and the age-based offer

Because the discount follows the celebrant's age, and a boss is usually considerably older than the staff, this is the kind of event where the programme shows its value most clearly:

Three things to state correctly in the approval request: the discount applies to the room rate only, not to set menus and drinks; it does not stack with the 30% off the room rate from 12pm to 10pm, Sunday to Thursday; and it is applied before the 5% service charge and 10% VAT. Four common mistakes

Asking staff to contribute without checking first. If the company is not paying, ask the whole department and let anyone who cannot join opt out quietly.
A video that runs long. Three minutes is the ceiling. Beyond four, people start looking at their phones.
Reading out achievements like a report. One true, specific detail is worth more than a page of accomplishments.
Nobody watching the clock. Someone has to make sure the formal part ends on time and gives way to the free part.
