Organising a family gathering is harder than organising one for friends — because you have to satisfy three groups with very different needs at the same time: grandparents, parents and small children.

This is written for whoever is arranging a milestone birthday, a wedding anniversary or a large family reunion.

Why a private space suits this better than a restaurant

Grandparents can hear. A noisy restaurant forces older guests to strain, and they usually end up staying quiet all evening. In a private room, the volume is the family's decision.

Children have somewhere to be. In a restaurant children tend to run between tables. In a private room they play within sight and bother nobody.

You can show old photographs. This is what creates the most memorable moment of a milestone birthday — and restaurants generally cannot do it.

Nobody rushes you. Families need time. Someone always arrives late, and someone always wants to sit and talk.

Choosing the room: four criteria specific to families

1. Adjustable lighting

This is the most important criterion and the one fewest people think about. Constantly flashing lights tire older guests and can upset small children.

Ask in advance: "Can the lighting be set to a soft mode, without flashing?" A professional venue will answer straight away.

2. Seating with proper back support

Sofas that are too deep make it hard for older guests to stand up. Ask about the seating and, if possible, request a section with firm-backed chairs for the grandparents.

3. A room on a low floor or near the lift

For older guests, this detail decides how comfortable the whole evening is. Avatar's room codes begin with the floor number, so the three lowest rooms are Aurora (0A1, ground floor, 20 guests), Cinematic (1A1, first floor, 12 guests) and Luminary (1A2, first floor, 30 guests).

4. Cleanliness and smell

Families are more sensitive to this than any other group of guests. On a site visit, pay attention to the corridor smell, how clean the bathrooms are, and the condition of the sofas.

The rule: for a family, always go one size larger than the headcount suggests. You need room for children to play, space for the cake, and comfortable passage for older guests.

A menu for three generations

This is the easiest part to get wrong. A menu that suits thirty-year-olds usually does not suit someone of seventy.

The detail worth the most: collect old photographs and short video messages from relatives who could not travel, and put them on the screen. It costs almost nothing and it is the part people still talk about years later.
