Monthly Staff Birthdays: Turning A Habit Into A Ritual
How to combine the month's staff birthdays into one fixed occasion: a two-hour plan after work, choosing a room by size, the budget, and the age-based discount.
Every month HR wrestles with the same question: whose birthday is it this month, where do we get the cake, and when do we hold it without disrupting the working day. Handled ad hoc every time, staff birthdays become an extra chore rather than a benefit anyone remembers. Combining all the month's birthdays into one fixed occasion — same day, same hour, same place — turns it into a ritual with a schedule, a budget and someone responsible, and nobody has to remind anybody.

Why combine rather than mark each person separately
Doing it individually sounds more thoughtful, but in practice it creates three problems HR departments know well: the budget is hard to control because the number of birthdays varies month to month; it can look like favouritism if one month is a large party and another is perfunctory; and the work is interrupted repeatedly instead of being contained in one evening. Combining by month solves all three: a fixed per-head budget each time, everyone in the same month treated the same, and one round of preparation rather than several scattered ones.
A two-hour plan after work
For a combined birthday held straight after work, two hours is the realistic window — long enough for the toast, the cake, some food and singing together, but not so long that people have to weigh it against family commitments. A working outline:
| Time | What happens |
|---|---|
| 6:00 – 6:15pm | Everyone gathers, settles, background music on |
| 6:15 – 6:30pm | A manager or department head speaks briefly and introduces the month's birthdays |
| 6:30 – 6:50pm | Cake, group photograph, good wishes |
| 6:50 – 7:40pm | Food and free singing, with short turns if anyone has prepared something |
| 7:40 – 8:00pm | Wrap up, clear away, finish at the time announced |
The key to this plan is starting and finishing on time. A combined birthday party that drags on is usually the reason a company drops the habit the following year, so fixing the two-hour window at the outset — and stating it clearly in the invitation — matters more than adding another item to the programme.
Choosing a room for each month's numbers
The number of birthdays changes from month to month, so HR should have two sizes ready rather than one familiar room. For a group of about 15 — common in a mid-sized company — Astronaut (room 303, 15 guests, 50 m², 450,000đ/hour) is the right fit, and its space-travel effects suit a younger staff group. In months where several birthdays fall together and the number reaches 20, move to Celestial (room 2A3, 20 guests, 55 m², 500,000đ/hour), whose blue-violet LED feels elegant while leaving room to breathe. Capacity and hourly rates for all 25 rooms are at the VIP room list, so choosing takes a few minutes once you know the month's numbers.
Whose age counts for the birthday discount
Avatar runs a "your age is your percentage off the room rate" offer — the room rate only, not set menus or drinks, reduced by exactly the age the celebrant is turning. With a combined party where several people are being celebrated at once, the practical question is: whose age sets the percentage?
What many companies do is nominate the oldest person among that month's birthdays, since that gives the highest percentage available for the evening. But that is a sensible way of calculating, not an existing rule of the venue — who counts as the nominated celebrant, whether any proof of age is needed, and whether the discount applies to the whole evening's room rate or only part of it, are all things HR should ask directly and confirm with the venue when booking, before putting the figure into a budget request. Read how the birthday age discount is calculated beforehand so you can ask precisely on the phone.
To picture the actual money, here is the calculation for a two-hour booking in Astronaut, worked through step by step — the standard table assumes a four-hour package, so it has to be recalculated:
- Room rate for two hours = 450,000đ × 2 = 900,000đ.
- Say the nominated celebrant is 30 → 30% off the room rate = 900,000đ × 30% = 270,000đ.
- Room rate after the discount = 900,000đ − 270,000đ = 630,000đ.
- Add the drinks or light food from the evening's menu, then multiply the whole by 1.155 (the 5% service charge and 10% VAT) for the final total.
Monthly budgets against a quarterly round-up
For the ages common in a younger staff group, the reduction on the room rate at Astronaut (four-hour package, from the standard table) is as follows — useful when booking longer than two hours, for instance combining the month's birthdays with another occasion:
| Nominated celebrant's age | Off the room rate (Astronaut, 450,000đ/hour × 4h) |
|---|---|
| 25 | 450,000đ |
| 30 | 540,000đ |
| 35 | 630,000đ |
| 40 | 720,000đ |
Some companies prefer not to hold one every month but to combine them into a quarterly or annual round-up for everyone with a birthday in that period — which can reach 50 guests, enough for MINIBAR (50 guests, 110 m², 850,000đ/hour), Avatar's largest single room. At that size, a nominated celebrant of 45 takes 1,530,000đ off the room rate; at 50, the reduction is 1,700,000đ, following the standard four-hour table. This suits a company wanting fewer occasions in the year while keeping the per-employee budget.
One more point: if the quarterly round-up falls between 12pm and 10pm, Sunday to Thursday, the company has another option in the 30% time-slot discount. The two do not stack — choose one, and ask the venue which is worth more for the specific date before committing.
A checklist for setting up the monthly ritual
- Draw up the list of birthdays by month at the start of the year, rather than checking close to the date.
- Fix one day each month (the last Friday, for instance) so staff can plan around it.
- Call 0915.03.1111 and book for the expected number; do not over-estimate by much.
- Ask the venue to confirm how the age-based discount applies when several people are being celebrated at once.
- Request full VAT invoices if the company books this as a staff-welfare cost.
- Keep to the two-hour window you announced; overrunning is what makes people reluctant to come next time.
For companies with several departments, each can hold its own monthly party or all can combine into one larger evening — both are covered by the company party packages at Avatar, from the room and the menu through to the invoice.
A good ritual does not need to be elaborate — only to happen at the same time, in the same place, so that nobody has to wonder whether it is happening this year.

A standing monthly booking suits both sides: the company keeps a steady budget, and the venue keeps the room free at a familiar hour. The age-based birthday offer applies to the celebrant of the evening, calculated on the room rate alone, and does not stack with the 12pm–10pm offer for Sunday to Thursday.
