Booking The Year-End Party From September: Why Sensible Companies Do Not Wait For December

The first day of Lunar New Year 2027 falls on Saturday 6 February — a late Tet by the usual rhythm. At first glance that seems to give your company more time to think about the year-end party. It is half true: this season runs longer, from early December 2026 through the end of January 2027, but the best slots — Fridays and Saturdays — still go early, just along a longer track. Whoever books last still chooses last.

Why a late Tet does not mean you can take your time

For most companies the year-end party is not a one-person job — the budget has to be agreed with the board, the departments consulted on the date, and only then does anyone book. That chain usually takes several weeks, plus whatever delay comes from waiting on approval. While your company is still in meetings, the companies that booked early have settled the room and the price, and hold that price even though they booked in September. A longer season only helps those who move early — for anyone starting to plan in December, the extra length changes nothing, because the best weekend slots already have owners.

How the season fills, week by week

This is how the slots in this year's season typically fill, from early December 2026 to late January 2027, right before Tet.

PeriodBooking pattern
Early December 2026The opening stretch; full choice of rooms and slots, Fridays and Saturdays included
Mid December 2026Companies booking early to lock the price move in; weekend slots start to narrow
Late December 2026Overlaps with Christmas; Friday and Saturday compete with Christmas parties too
Early January 2027The peak of the season; most weekend slots already held
Mid January 2027Friday and Saturday only scattered; weekdays still flexible
Late January 2027Close to Tet; most companies fixed their dates earlier, and what is left is very limited

The point to take from that table: the season may be long, but the scarcity of Fridays and Saturdays is unchanged. Booking in September or October puts your company right at the opening stretch — where there is still enough choice to pick both the date and the room you want, rather than working around what is left.

Three concrete advantages of booking early

  • Choosing the right room rather than an available one. For a department of 20, Celestial (room 2A3, 20 guests, 55 m², blue-violet LED) is both elegant and roomy enough that nobody stands. For a team of 35, Nebula (room 602, 35 guests, 80 m²) in warm nebula tones is a favourite for year-end parties, large while staying intimate. Both are among the first to go in the peak Friday and Saturday slots.
  • Locking the price, with no movement. Booking early means the hourly rate and the set-menu price hold from signing to the night itself; the budget request goes to the boss once, without last-minute revision.
  • Time to prepare a proper programme. Booking early leaves whole weeks to prepare the awards and the year-in-review video, instead of compressing everything into a frantic final week.

All-inclusive budgets by size — ready for the approval request

The table below covers a four-hour party including the room, one all-inclusive set menu (3 starters, 3 main protein dishes, 3 seafood or meat dishes, 3 rice or noodle dishes, 2 fruit platters and a case of beer per set) plus additional drinks, using (room + food + drinks) × 1.155 for the 5% service charge and 10% VAT.

For teams above 50, the venue's motion-sensing room takes up to 60 guests in a single space — suitable for a large department or several smaller groups combined. All 25 rooms with capacity, floor area and hourly rate are listed at the VIP room list for comparison before choosing.

A reverse timeline — counting back from the night

If your company already has a date in mind, these are the steps to complete, week by week, counting back.

  1. 8 weeks before: settle the expected attendance and budget, and give the board an early sight of the figure.
  2. 6 weeks before: choose the room and pay the holding deposit — the most important step if you want a Friday or Saturday.
  3. 4 weeks before: settle the set menu and send the internal notice for staff to register.
  4. 2 weeks before: confirm the final numbers with the venue and discuss the programme if there are speeches or awards.
  5. 1 week before: review everything — timings, VAT invoice, parking spaces needed — and circulate the exact schedule to the team.

For companies running several departmental parties in the same season, the company party packages cover arranging adjacent rooms in one batch rather than booking each separately.

A checklist before you call

  • A provisionally approved budget figure, with some margin.
  • A preferred date and at least one alternative close to it.
  • A reasonably accurate head count, so the floor area is right.
  • Confirmation of whether the company needs a VAT invoice, so the details are ready from the start.
  • The hotline 0915.03.1111 saved, so you can hold the room the moment a decision is made rather than waiting for another meeting.

A late Tet does not extend the scarcity of Fridays and Saturdays — it only extends the time you have to avoid running into it.
